CECH Conference Travel Funding Process

CECH Graduate Students often travel to academic conferences to present research or connect with other experts in their respective field. The CECH Graduate Student Association (GSA), CECH, and the Schools are proud to support this professional development opportunity for graduate students and has funding set aside for this purpose.

General Guidelines

The Graduate Student Government (GSG) conference award is provided to financially assist graduate students in presenting their research at an academic conference, and/or attending a research conference to develop their professional skills. GSG funding is not guaranteed for any graduate student regardless of whether students are presenting or not.

You must have completed 12 credit hours in order to apply for the GSG conference travel award, and you must be a member of the CECH Graduate Student Association (GSA) and UC’s GSG. If you are not a member, please join the student organization on GetInvolvedUC. Additionally, the conference must have been completed before you apply for any conference travel award funding.

If awarded funds by CECH or your school, covered costs included in UC Travel Policy could be reimbursed by CECH or school funds.

Within the GSG Conference Travel Award site, you will learn about requirements for “Before Travel” and “After Travel”. "

PLEASE NOTE: Your department may have additional procedures before or after this process to distribute any department funding for students. Please refer to School Guidelines and Contacts at the bottom of this page for more information.

School Guidelines and Contacts

Students are able to request additional funding when traveling to a conference. Please refer to your school below and follow the guidelines in place. Reach out to the school contact for any further questions.

Please Note: You MUST FIRST apply for the GSG Travel Award and receive approval. You may only receive matching funds from CECH and SOE. 

You can receive a total of up to $1,800 from GSG, SoE, and CECH if you meet all requirements and follow the process outlined below. 

  • For students presenting at approved conferences:
    • You can receive up to $600 from GSG.
    • SoE will match up to $600.
    • CECH will match up to $600.
  • For students attending (non-presenters) approved conferences:
    • You can receive up to $300 from GSG.
    • There is no match available from SoE or CECH.

Before You Travel (It is recommended you do this one month prior.)

In order to receive this award, you must:

  1. Fill out a Student Travel Authorization Form. This form MUST be signed by the student's advisor or supervisor prior to travel. Please fill out the Studnet TA form here. If you have already filled out the form for GSG or have a paper copy of the form filled out and signed, that will work just fine.  Per UC Policy, all students who travel must fill out a TA form before they leave. 
  2. Apply to GSG for funding before leaving on your trip. Please visit GSG Travel Award page for more information. If you are approved for GSG funding and your expenses are greater than what they cover, we will use SOE/CECH funds to reimburse you, in accordance with UC travel policy.

After You Travel
When you fill out this form, please be prepared to upload one PDF file with your documents, listed below. We will provide a per diem reimbursement for each day of the trip, based on the amounts allowed on the gsa.gov website. We do not need your food receipts. Please visit GSA's website to learn more about per diem rates for your conference city. Please note: GSG does not provide reimbursement for food. 

  1. Approved Travel Authorization (TA) Form. 
  2. Email approval from GSG (saved as PDF and included with the rest of the documentation).
  3. Proof of presentation (Proof can be email/letter of acceptance, brochure of conference with your presentation listed, etc.).
  4. ITEMIZED travel-related receipts. Please include the purpose of the trip on all taxi (Uber, Lyft, etc.) receipts (e.g. from hotel to conference).
  5. Written proof of conference attendance (usually a hotel bill, etc.  For virtual attendance, provide a screenshot of the conference with the time and date stamp on the screen. Activity on credit card statements does not suffice for proof of attendance to the conference.)

Students that qualify for a conference travel award will receive an email from a school administrator.

When submitting the TA form for approval prior to travel, students should include a copy of the conference program showing their name and presentation date/title (or a copy of their conference registration if not presenting).

Presenter Awards 

  • Up to $600 from GSG
  • Up to $800 from School of Criminal Justice
  • Up to $800 from CECH Dean's Office

Non-Presenter Awards (first year PhD students)

  • Up to $300 from GSG
  • Up to $500 from School of Criminal Justice 
  • Up to $500 from CECH Dean's Office

Non-Presenter Awards (all other PhD students)

  • Up to $300 from GSG
  • Up to $400 from School of Criminal Justice 
  • Up to $400 from CECH Dean's Office

Award Limits

Presenter Awards (max total up to $2,200 per fiscal year).
Student must provide evidence of authorship on paper presented at academic conference to School of Information Technology, specifically 1) copy of paper with author information, 2) link to conference program.

  • Up to $600 from GSG
  • Up to $800 from School of Information Technology (doctoral and thesis track students only)
  • Up to $800 from CECH Support

Non-Presenter Awards (max total up to $600 per fiscal year).

  • Up to $300 from GSG
  • School of Information Technology does not provide funding for non-presenters
  • Up to $300 from CECH Support
